Getting started

What is KlickDent?
KlickDent is a family of Windows business programs for the dental trade in Iraq: KlickClinic for a dental practice, KlickLab for a dental laboratory and KlickComp for a dental supplies trading company. Alongside them runs the KlickDent Control Hub, a small always-on service that lets a clinic and a lab exchange cases even though neither computer is reachable from the internet. Each program installs from a single setup file onto your own PC with its own database, and every screen exists in English and in Arabic with the whole layout mirrored for right-to-left reading. The three programs are separate products with separate databases — you buy only the one you need.
Which of the three programs do I need?
If you treat patients, you want KlickClinic: patient records, an interactive tooth chart, treatment plans, appointments, billing and staff. If you make crowns, bridges and dentures for dentists, you want KlickLab: incoming cases, your own production stages, materials, invoicing and technician pay. If you buy dental materials, equipment or software and sell them on to clinics and labs, you want KlickComp: catalogue, warehouse, purchase bills, invoices, rep commission and cash accounts. A business that does two of those runs two programs, and they can share one computer.
Can I try it before I buy?
Yes, by arrangement with us — there is no public download and no self-service sign-up. We keep demonstration installations that hold no real patient data, so you can be shown the program working rather than shown slides. If you want to run a trial on your own machine, that is agreed with us directly, because every installation is activated for one specific computer. Contact us and we will set it up.
What do I have to do to get it running, and do I need an IT person?
You need one 64-bit Windows PC and somebody who can run a setup file as administrator. The installer does everything else in one pass: it installs PostgreSQL (the database), creates the database, writes the configuration, registers a Windows service so the program starts with the machine, opens the Windows firewall and loads starter data. The one step that involves us is activation — the program shows a Machine ID on screen, you read it to us, and we issue the licence key for that PC. No other computer in the office needs anything installed; staff open a browser.
Who is actually using it today?
We will only tell you what we can evidence. KlickClinic runs on six hosted deployments: two of them hold real patient records — the owner's own clinic, in daily use since 7 August 2026, and the first sale, in use since 22 August 2026 and currently on a trial — while the other four are an internal staging site and three sales demonstrations with no real patients. KlickLab runs on one laboratory's own Windows PC with a read-only online copy beside it, and KlickComp runs on the owner's own office PC and a hosted copy. We do not claim a customer count beyond that, and we would rather you heard the real number than a rounded one.

Buying and licensing

What does it cost?
We do not publish a price list, and we will not quote one here that we would have to change. Price depends on which program, which optional modules you take, and whether you run it on your own PC or want it hosted online by us. Contact us and we will quote for exactly what you need.
How does the licence work — is it tied to my computer?
Yes. Each installation is activated against the specific Windows PC it runs on, using a signed licence key that the program checks on your own machine; the program carries only the public half, so it can verify a licence but can never create one. Because the check happens locally, your licence keeps working with no internet at all. Copying the installed folder to a different PC produces a different machine fingerprint, so that copy simply will not verify.
Can I move it to a new computer?
Yes, but not by copying the folder — the licence is bound to the machine it was issued for. Tell us, read out the new PC's Machine ID (the program shows it on screen and in its tray icon), and we issue a licence for that machine. Your data moves across as a backup file taken from the old PC and restored on the new one.
Do I have to buy the whole program?
No. Each program has a core that is always included and optional parts sold separately, and a part you have not bought does not appear in the menu at all. In KlickClinic, patients, the dental chart, treatments, dentists, settings and the dashboard are always included, while appointments, billing, inventory, courses, payroll, reports and lab sync are optional. KlickLab always includes cases, clinics, settings and the dashboard, with inventory, billing, payroll, the message inbox, to-dos, reviews, sales reps and staff calls optional; KlickComp always includes inventory, sales, customers, users, settings and the dashboard, with suppliers, sales reps, accounting, reports and per-customer pricing optional.
What happens if I stop paying, or pay late?
There is deliberately no lock screen and no locked-out state. The strongest thing that can ever happen is that the program becomes read-only: every patient, case, invoice and report stays open and printable, backups keep running, and only saving new changes pauses, with a written reason shown on screen. That read-only state also has to be switched on deliberately for a specific account — marking an account unpaid does not restrict it by itself — and today no customer has it switched on at all. There is a short code we can read down the phone that restores full access ahead of every other rule.
What if I cannot reach you at all — no internet for a week?
You keep working. The program treats anything it cannot verify as no information rather than as evidence you have not paid: an unreachable server, an unrecognised key, even a PC clock that has gone backwards all leave you at full access. If a restriction had been armed and you then went offline, you carry on at your last known status for however many days were agreed, and "never restrict" is a valid setting. For the case where you are cut off entirely, we can issue a recovery key — a block of text you paste in, which your own program verifies with no network at either end.

Offline, online and your data

Does it need the internet to work?
No, and that is the main way it is sold. The program, its database and its web server all install onto one Windows PC in your clinic, lab or office, and everyone else reaches it through a browser over your own local network. Patients, charting, cases, billing, inventory, payroll and printing all work with no connection at all. Internet is only needed for the optional extras: sending cases between a clinic and a lab through the Hub, receiving Telegram or WhatsApp messages into KlickLab, or hosting the program online instead.
Can I run it online instead of on my own PC?
Yes. The same program can be hosted, and each hosted customer gets their own separate project with their own database and their own file storage — customers are never mixed together in one system. A hosted clinic can have its own web address. Which route suits you depends on your connection and on whether you want the records on a machine you physically own; we are happy to talk it through.
If I have both an office copy and an online copy, do they stay in sync?
For KlickClinic and KlickComp: no, and we want to be clear about that. The office installation and the online installation are two independent programs with two separate databases, and moving data between them is a deliberate manual backup-and-restore. KlickLab is the one exception, and it only goes one way: the lab PC owns the data, and the online copy is a read-only mirror refreshed from it about once an hour, which nobody can type into.
Where is my data kept, and can I get it out?
On your own PC, in a PostgreSQL database the installer sets up for you, with files such as scans and photographs in a folder on the same machine. Getting it out is a button in Settings: the program writes a complete copy of the database as a plain SQL file that you can download to a USB stick or another computer. Invoices and statements print to PDF from all three. KlickLab and KlickComp also export reports and lists as Excel workbooks, and KlickLab exports your whole configuration — catalogues, roles, settings — as a portable file that can be imported into another installation.
What happens to me if you disappear?
The program stays on your computer and keeps running: the licence is checked on your own machine, not against our server, so nothing switches off because we are not there. Your data is in a standard PostgreSQL database on your PC, and you can take a complete plain-SQL copy of it whenever you like, which any competent database person can read without our software. What you would lose is future updates and our support — not access to your own records.
Can you see our patients' or customers' data?
If you run offline on your own PC, we see nothing at all — there is no phone-home and nothing is uploaded. If we host you, your database is yours alone and we only go into it when you ask us to. When a clinic sends a case to a lab, the Hub in between carries the case as a sealed block it moves without reading, and the Hub's own dashboard has no case viewer — it shows labs, clinics, connections and counts, not patients.

KlickClinic

What does KlickClinic do?
It runs a single dental practice around a per-patient tooth chart: medical history, charting tooth by tooth, treatment plans and visits, appointments, recalls, prescriptions and referral letters, patient billing and payments in dinars, clinic finance, dentist commission, inventory and lab work. It ships with clinical starter content already in place — treatment categories, about 34 medical conditions, 25 medicines with their drug classes, prescription and referral templates and a nine-stage orthodontic protocol — so it is usable on day one. It is built for one clinic: one clinic is one database and one installation, not a group of branches run from one login.
Does it handle orthodontics and children with both baby and adult teeth?
Yes to both. A child's chart opens with the right mix of baby and adult teeth already worked out from their date of birth, and teeth that have not come through, are still erupting, are impacted, retained or shed are drawn as different shapes so colour keeps its one clinical meaning. For orthodontics, a case records its appliance once — arches, system, prescription, extractions, retention — and each activation records what was actually placed, removed or adjusted, with a slider that steps back through every visit. It does not do cephalometric tracing, Bolton or space analysis, or model superimposition; those are deliberately out of scope.
Does it do insurance billing?
No. There is no insurance module, no claims, no insurer billing and no co-pay splitting anywhere in the program. Billing is direct to the patient: charges build up per visit, payments are recorded against a balance, and receipts print.
Will it send WhatsApp or SMS reminders to patients?
No, not today, and we would rather say so plainly than let you find out later. The program creates recall reminders when a treatment is finished and shows a due list with tap-to-call links, and it pushes notifications to your staff's phones — but it does not send anything to patients itself. There is also no patient portal and no online booking: every account in the program is a staff account.
Can I stop my receptionist from seeing what the clinic earns?
Yes. Seeing whole-practice money and counts is its own separate switch from being able to record a payment, so that person can still take money at the desk without seeing the practice's books. There are further single switches for seeing patients' phone numbers, for being allowed to delete a finance record rather than only correct it, and for seeing everyone's attendance. A dentist can be given reports limited to their own collected fees, commission and patients without seeing anyone else's.

KlickLab

What does KlickLab do?
It runs a whole dental laboratory: cases come in from dentists with the teeth charted, move through production stages you set up yourself, and come out invoiced in dinars, with materials, implant parts, technician pay, attendance and reports around them. It is meant to replace the paper case book, the WhatsApp group, the Excel price list and the invoice notebook. One safeguard worth knowing: a finished case raises its bill automatically but only as a draft that counts as nothing anywhere until somebody approves it, and an approved invoice is never quietly rewritten — if the case changes afterwards it appears under "needs updating" and shows you exactly what changed.
How does it decide what to pay a technician?
Each step in your workflow can pay a person per tooth or a flat amount per case, and a layering step can pay by the finishing technique used on each tooth. How many units a case is worth comes from the restoration type, so a 16-tooth retainer counts as one appliance while 11 temporary veneers count as 11. Work is claimed by the technician and then approved into a payroll month, and the month's figures stay live until someone is paid in full. Attendance is reported separately and does not change anybody's pay by itself.
Can cases arrive from WhatsApp or Telegram?
Partly, and here is the honest shape of it. Telegram messages come into the lab's inbox directly; WhatsApp can be connected through a small relay you host, and it is not switched on out of the box. Both are receive-only — the program reads messages that arrive and never replies to dentists, the single exception being a review link sent over Telegram. Nothing becomes a case on its own: a person reads the message in the inbox and opens a new-case form already filled in from it, then checks it before saving.
Can the owner see the lab from home, and are our scans uploaded anywhere?
The owner can publish a read-only copy of the lab online and look at it from anywhere; it is refreshed from the lab PC about once an hour and cannot be typed into. Only the database is sent — scans, photographs and voice notes stay on the lab computer, and the online copy says so where a file would have been. The full working program is reachable on the lab's own Wi-Fi only; a phone app that works from outside the lab is not something we have built.
Does it work with exocad?
Yes. Creating a case can create the matching exocad project folder, the project file and the database rows, so the case is ready to scan without retyping. You map your own restoration types to exocad work types, and the program can read exocad's naming templates and material catalogue rather than you entering them by hand. There is a privacy option to send only the case number instead of the patient's name.

KlickComp

What does KlickComp do?
It runs a dental supplies trading company end to end: product catalogue and stock, purchase bills and what you owe suppliers, sales invoices and what customers owe you, sales-rep commission, staff wages, cash accounts and reports — in dinars alongside dollars and euros. Two things it deliberately does not have: a point-of-sale counter screen (a cash sale is an ordinary invoice born paid) and multi-warehouse stock — there is one warehouse. It is at version 0.2.0, which reflects how recently the brand settled rather than how much is built: twenty development phases are behind it, it is in real production use on the owner's own office PC and online at the same time, and its money arithmetic is covered by 394 automated tests against 133 written-down business rules.
Can I buy in dollars and sell in dinars?
Yes. Cost prices, supplier bills, sales invoices, credit notes and cash tills each carry their own currency, and you can keep separate dollar and euro tills beside your dinar one. Foreign amounts are never added into dinar totals — every balance, statement and report is shown one currency at a time, which is the only way the numbers stay true. When a dinar payment settles a dollar invoice you type both amounts and the program shows you the rate that implies, rather than asking you to trust a stored rate.
How do I know what profit I really made on a sale?
Every invoice line saves the cost the goods actually carried on the day you sold them, next to the price you charged. That means the margin on a sale from three months ago is still exactly right even though the product's cost and price have changed since. There is a profit-margin report by product, category or brand, and a cash-basis profit and loss. Seeing cost prices and margins is its own permission, so a salesperson can write invoices without ever seeing what anything cost you.
Can it track software licence keys, dongles and renewals?
Yes — it is one of the things the program was built for. Every licence key or dongle serial is registered once and the same number cannot be handed to two customers. You can sell a licence before the keys have arrived: the line waits on an outgoing list marked as needing a key, and you register and hand one over when the stock lands. A renewal call list shows licences ending soon and perpetual licences whose yearly update fee is due, with tap-to-call numbers, and renewing raises a real invoice that flows into the customer's balance, the till, the rep's commission and the reports.
Is it proper double-entry accounting? Can my accountant use it?
It is deliberately cash-basis, not double-entry: there is no journal, no trial balance and no balance sheet, and the profit and loss excludes unpaid invoices and unpaid supplier bills by design. What it gives you is a clear set of cash, income and expense accounts with a ledger behind each one, a cash-basis profit and loss, receivables aging, payables by currency and printable customer and supplier statements, all exportable to Excel. Most accountants work happily from those, but if you need formal double-entry books this is not that, and there is no integration with QuickBooks, Xero or any tax authority system.

Clinic and lab together

Neither our clinic nor the lab has a fixed internet address. How can they exchange cases?
Neither side is ever called from the internet. The clinic pushes the case and its files up to the Control Hub, and the lab asks the Hub what is new — both are ordinary outgoing connections, which is the one shape that works behind a normal office router with no port forwarding and no fixed address. Nothing has to be installed at either end beyond the programs themselves.
Can any clinic send work to my lab?
No — the lab decides. A clinic asks to connect using the lab's short code, and the lab approves or rejects it. Until there is an approved connection, cases, files and status updates are refused in both directions. Switching a clinic off later is instant and reversible and keeps its history.
What stops a case arriving twice, or going missing?
The lab only confirms a case after it has written it into its own database, and that confirmation is what removes it from the queue — it can never be served again. If the connection drops halfway through, the lab simply asks again and carries on from where it stopped, so it does not get duplicates and nothing is dropped quietly. Sending the same case twice returns the original result instead of creating a second one. One caution: a relay key belongs to exactly one running copy of the software, so a restored backup must never come back online still carrying another installation's key — if two copies use the same key, whichever asks first takes the work and the other never sees it.
What happens to the scans and photographs after the lab collects them?
They are deleted from the Hub. It is a queue, not storage: once the lab has confirmed the case, the buffered files are removed, and the lab keeps its copy while the clinic keeps its own. Up to 20 attachments per case and 200 MB per file are allowed by default, and that limit is a setting. Every file is measured and fingerprinted before sending, and the case stays invisible to the lab until every attachment has arrived intact — so the lab never downloads an order it cannot open.
My lab does not use KlickLab. Can I still track lab work?
Yes. You can add the lab by hand, record its cases, its bills and your payments to it, and manage the work in the clinic exactly as you would otherwise — the case just is not sent electronically. Two things to know about lab bills either way: they never touch a patient's balance, and marking a lab bill as disputed records your dispute without sending anything to the lab, so you still phone them.

Language and Iraq

Is it really in Arabic, or English with Arabic words?
It is a full Arabic interface. Switch language and the whole layout turns around — the menu, the tables, the forms, the arrows and the printed pages — because the direction is set once at the root and every layout uses direction-aware spacing. Arabic is set in a proper Arabic typeface that ships inside the program, so nothing is downloaded and nothing renders as boxes on a PC with no internet. Both languages go out in every release, and automated checks compare the two word lists against each other; in KlickLab and KlickComp those checks run inside the build itself, so an incomplete translation cannot be packaged.
Does it work in Iraqi dinars?
Yes. IQD is the home currency and is shown the way people write it, without decimals, with thousands separators appearing as you type so a seven-digit figure is not mistyped. A payment settles the oldest debt first, including a balance carried over from before the program was installed. The currency is a setting rather than something built into the program, so it can be sold to a business using another currency, and KlickComp additionally handles dollars and euros alongside dinars without ever adding them together.
What happens if I change the currency later?
Historic amounts are re-labelled with the new symbol; they are not converted. A 500,000 figure entered as dinars will read as 500,000 in the new currency, which is why the Settings page warns you before you change it. If you need old records to keep their original value, tell us before you switch.
Will it carry my business's name and logo, or yours?
Yours. Your business name, logo and currency come from settings and appear on every screen, on printed invoices, receipts and case sheets, and as the name and icon when a member of staff installs the program on their phone. Our name appears only on the Windows installer, the tray icon, the Windows program list and the sign-in screen. One honest caveat: KlickComp has no logo upload screen in this version, so its brand square shows your company's initials until that ships.
Does it use the Hijri calendar or Arabic-Indic numerals?
No. Dates follow the Gregorian calendar and numerals stay Western (0-9) in both languages, deliberately, so a figure never reads two ways on the same page. A Hijri calendar and Eastern-Arabic numerals are on the list of things we have considered and not built. Dates do follow the timezone you set, which is Baghdad by default, so "today" and each month's boundaries are correct for you.

Support, updates and training

How do updates reach me if my internet is poor, and do they install themselves?
Nothing updates itself and nothing installs behind your back — there is no automatic update checking, by design. We send you the files: for KlickLab that can be a small patch of a couple of megabytes that you carry in on a USB stick or receive by email, drop into a folder and install from inside the program. KlickClinic and KlickComp are updated by running the newer setup file on that PC. Every update file is signed and its fingerprint checked before anything runs, so an altered or unofficial file is refused.
What happens to my data when an update is installed?
A dated backup of the database is taken before anything changes, into the same folder your own backups go to, and the update refuses to continue if that backup cannot be made. Your data, your settings, your licence and the port you chose are all preserved; only the program files are replaced, and any database changes are applied when the service restarts. If a database change fails part-way, it is rolled back and re-applied corrected rather than leaving the machine stuck.
How do you know an update will not break my day?
Every change is tested offline first, then on a rehearsal site with fake data, then on the owner's own clinic with his own real patients, and only then on customers. For KlickClinic that order is not a habit but a program: the release tool refuses to skip a stage, updates customers one at a time, stops at the first sign of trouble, and at the end asks every live site over its own secure address which version it is actually running. KlickLab and KlickComp follow the same offline-first order with less automation around it.
Is there training or a manual, and how do I get support?
Setup and the first walk-through are done with us directly — we activate the installation with you, and we will show your staff the screens they will actually use. The installer deliberately ships no documentation files on your PC; what guidance exists lives on this site and with us, and each release comes with plain-language notes on what changed. We do not publish a support telephone number or a response-time guarantee here, because we are not going to promise a number we cannot hold to — contact us and we will tell you exactly what support we can give you and when.

Security and backups

How is access controlled — who can see what?
Every member of staff signs in as themselves, passwords are stored hashed rather than in readable form, and a new account must choose its own password on first sign-in. Each part of the program is granted to a role as no access, view only, or full edit, and on top of that sit single switches for sensitive things: cost prices and margins, patients' phone numbers, clinic-wide or company-wide money totals, deleting a finance record, seeing everyone's attendance, seeing pay. All of it is enforced on the server for every action, so hiding a menu item is never the protection — typing the address of a hidden screen does not get past it.
How are backups taken?
Backup and restore are buttons inside the program, in Settings. It writes a complete plain-SQL copy of the database to a folder on the machine, which you can download; restoring is the same screen, behind a confirmation that says plainly that it replaces current data. Automatic backups can run on a schedule with a keep-the-newest rule, and a backup you took by hand is never deleted automatically. KlickClinic also offers a once-a-day one-click copy onto the computer you are sitting at, and a weekly larger archive that includes x-rays, scans and photographs — that bigger one is the only copy with the images in it.
My computer dies tomorrow. What then?
You install the program on a new PC, tell us the new Machine ID so we can reissue the licence, and restore your most recent backup — which is exactly why the download-a-copy button matters and why the scheduled backup is worth switching on. For hosted customers we additionally pull a copy of each database off-site and prove it restores: on 15 September 2026 all six hosted clinic databases were restored into a scratch database and their contents counted row by row. For an offline installation, the copies you take are the copies that exist, so keep one off the machine.
Can I see who changed or deleted something, and can I get it back?
Yes to the first, usually to the second. Every program keeps an activity trail of what was created, changed or deleted, with who and when, and licence changes are written down in a record that no part of the software edits or deletes. In KlickClinic, deleted treatments and visits sit in a Recently Deleted list for 90 days and come back complete with their sessions and the money they carried, and almost nothing that history points at is truly deleted — it is deactivated. In KlickComp the activity log can restore users, roles and settings but not deleted invoices, items or payments, so treat a delete there as final.
Are you HIPAA, GDPR or ISO certified?
No, and we will not imply otherwise — we hold no certification of any kind and make no regulatory compliance claim. What we can tell you factually is where your data is and how it is protected: on your own PC unless you ask to be hosted, in a database only your program touches, with passwords hashed, permissions checked on the server for every action, uploaded files stored under generated names and served only through a permission-checked route, and an activity trail behind it. If a certification is a requirement for you, say so early and we will tell you honestly whether we can meet it.

Technical requirements

What kind of computer do I need?
A 64-bit Windows PC with administrator rights to run setup, and nothing else installed first — the setup file of roughly 530 MB brings its own PostgreSQL 18 database and its own Node runtime inside it. If a PostgreSQL server is already running on the standard port it is reused rather than a second one installed. We do not publish a minimum RAM, processor or disk figure, because we have never measured one we would be willing to stand behind; a normal modern office PC that stays switched on during working hours is what these run on.
Does it run on a Mac, or on 32-bit Windows?
No. The installer is 64-bit Windows only, and there is no macOS build. Staff can use a Mac, an iPad or an Android tablet as a client — anything with a modern browser on the same network — but the computer that runs the program itself has to be 64-bit Windows. Moving the server side to Linux or a NAS is a configuration change rather than a rewrite, so ask us if that matters to you.
Can all three programs run on one PC?
Yes. Each one has its own web address and port, its own Windows service, its own database and its own sign-in, so a business running the clinic and the lab on one machine has no collisions — KlickLab uses port 3000, KlickClinic 3100 and KlickComp 3200, each with its own secure port as well. They share one database server, so the PC only ever has one installed. Uninstalling one leaves the others running.
Do staff need to install an app from the App Store or Play Store?
No, and there is none to install. Staff open the program in a browser on any PC, phone or tablet on your network, and it can be added to a phone's home screen so it opens full-screen like an app, carrying your business name on the icon. Notifications reach phones that have it installed. A couple of phone features — staff calls, voice notes and installing to the home screen — need the secure address that setup provides, and each phone has to trust that certificate once, which takes a minute per device.
